–Key Responsibilities:
1. Ensure Timely and Accurate Dispatch of Spare Parts
• Oversee and optimize the dispatch workflow to ensure timely delivery of spare parts to field technicians and service centers based on the priority and urgency.
• Monitor turnaround time (TAT) for part deliveries and address bottlenecks.
2. Coordination with Procurement Department
• Coordinate with the procurement team to raise part requisitions based on minimum stock levels, usage patterns, and demand forecasts.
• Ensure timely follow-up and closure of purchase orders and update internal stakeholders accordingly.
3. Vendor and Supplier Coordination
• Liaise with suppliers for the replacement or rectification of defective, incorrect, or delayed supplies.
4. Market Monitoring and Vendor Price Benchmarking
• Stay updated with current market prices of critical components and parts.
• Support procurement with cost comparisons and vendor selection based on market trends and quality.
5. Vendor and Supplier Communication
• Follow up with suppliers for pending deliveries, incorrect supplies, or replacements.
• Maintain records of vendor interactions and escalate issues to the concerned when needed.
6. Returns and Replacements Management
• Design and implement a systematic process for the return of unused, defective, or warranty-covered parts from service teams.
7. Damaged and Obsolete Inventory Control
• Maintain a dedicated record of damaged, expired, or obsolete inventory.
• Facilitate timely disposal or warranty claims and coordinate scrapping processes as per company policy.
8. ERP and Inventory Accuracy
• Ensure that all inbound and outbound stock transactions are recorded in real-time in the ERP system.
• Regularly review and audit system entries for accuracy and completeness.
9. Stock Audits and Reconciliation
• Conduct periodic physical stock audits and reconcile discrepancies with system data.
• Investigate and resolve variances and implement controls to prevent future errors.
